Ask agency owners what they love about HawkSoft and you’ll hear a lot about the Unified Client File, the Agency Intelligence dashboards, or the auto-documentation that logs every call and email. Tags almost never come up — which is kind of a shame, because they’re one of those small features that ends up doing a lot of heavy lifting once you actually start using them.
If your agency hasn’t touched Tags yet, or only uses them here and there, keep reading. This one’s worth setting up properly.
Okay, but what actually is a Tag?
In HawkSoft, a Tag is basically a short custom label you slap onto a client file to flag something important. You can add one straight from the Client tab, or on the fly while you’re logging a call, email, or text. And because Tags live right on the client file itself, they’re impossible to miss — no digging through old log entries trying to remember what the deal was with this account.
Most agencies end up building out their own little Tag library based on how they actually work. Things like “VIP Client,” “High Risk,” “Payment Plan,” “Non-Renewal Pending,” “Bilingual – Spanish,” “Referral Source,” or “Needs Manager Eyes.” You’re not stuck with some generic default list — you build the Tags around your agency’s actual workflow.
Why Tags make everyday life easier
1. Anyone who opens the file instantly knows what’s going on
This is the big one for multi-employee agencies. A client calls in, and it’s not the CSR who usually handles them. No problem — one glance at the file shows “on a payment plan,” “needs manager sign-off,” or “prefers texts over calls.” That one tiny detail can save you from an awkward, embarrassing service moment.
2. You can actually do something with your book of business, not just look at it
Tags aren’t just little stickers — they’re filterable data. Since reports in HawkSoft let you take action right from the results, you can tag a group of clients (say, everyone who came from a specific referral partner) and then fire off a thank-you email or track how well that source is converting, all from the same report.
3. You know who actually needs the attention
Retention comes down to knowing which accounts are shaky. Tag something “At-Risk for Non-Renewal” or “Recently Filed a Claim,” and now your producers and CSRs know exactly where to spend their energy instead of working down a generic renewal list and hoping for the best.
4. Everyone’s speaking the same language
If every employee invents their own shorthand buried in random log notes, good luck training someone new. A shared, agency-wide Tag list means new hires can get oriented fast, and nobody’s stuck decoding somebody else’s cryptic notes from three years ago.
5. Cross-sell opportunities stop slipping through the cracks
Tag the client who got quoted on an umbrella policy but didn’t pull the trigger, or the one who mentioned they’re shopping for life insurance. Now that’s a list you can actually follow up on instead of something you half-remember.
Where Tags really earn their keep: audits
Tags are great for the day-to-day stuff, but this is where they go from “nice to have” to “genuinely protects your agency” — audits, E&O reviews, and compliance checks.
1. You can prove you actually had a process
Independent agencies carry real E&O exposure, and when something goes sideways, what usually saves you is being able to show you had a documented process. HawkSoft’s Action Menu already builds a trail of every interaction automatically, but Tags add a second, more visible layer on top — a clear flag that says “yes, we caught this coverage gap” or “yes, we followed up on that missing signature.” It’s not buried in a log entry nobody’s going to read at 2am before an audit.
2. Audit-ready reports in minutes instead of a miserable afternoon
Since Tags are a reportable field, you can pull a Quick Report or Advanced Report filtered by Tag and get your answer immediately. Need every file flagged “Signature Outstanding” or “Proof of Prior Coverage Needed”? That’s a couple clicks, not an hour of manually clicking through client files while your coffee goes cold.
3. Flagging the compliance-sensitive stuff
If you’re writing business across multiple states or handling lines with specific disclosure rules, Tags like “TCPA Consent on File” or “State Disclosure Required” mean you can flag those files as you go. When a carrier or regulator asks for proof, you’ve got an answer ready instead of scrambling.
4. Built-in quality control
Managers can tag files that need a second set of eyes, then run a recurring report to make sure those files actually got reviewed — not just flagged and forgotten. It’s a simple checks-and-balances system, and it’s exactly the kind of thing carriers and E&O insurers like seeing.
5. You can look backward, not just forward
A well-maintained Tag library means you can answer the annoying audit questions later — how many files had this issue last year, and how fast did we clean them up? Nobody has to rely on memory. It’s all sitting right there in the data.
Getting the most out of it
A Tag system is only as good as the discipline behind it. A few things that actually make a difference:
1. Don’t let the list get out of control. A messy pile of one-off Tags defeats the whole purpose. Put someone in charge of the Tag list and have them clean it up occasionally.
2. Train people on when to use a Tag, not just how. The feature is easy — consistency is the hard part, and it’s what makes the reporting actually useful.
3. Actually run reports off your Tags. A Tag nobody ever reports on is just a label sitting there doing nothing. The payoff comes from pulling those Tags into reports regularly — for retention outreach, compliance sweeps, or manager review.
4. Revisit the list after an audit. If a carrier or E&O review turns up something you wish you’d been tracking, that’s your cue to add a new Tag for next time.
Tags aren’t the flashiest thing HawkSoft offers, but they hit that sweet spot between “makes daily work easier” and “makes your agency defensible when someone comes asking questions.” If you’re looking for a low-effort, high-payoff way to get more organized and more audit-ready without buying new software, building out a real Tag strategy inside HawkSoft is about as good as it gets.
